A. If you cannot see the Calendar in Teams, it sometimes takes time for apps to become available after the initial Teams installation.
We suggest that you close Teams from time to time. You will see updates then appear when you restart. If you are missing anything after doing this, log a Service Desk call to check. Some apps like Stream, Planner, Whiteboard in meetings, Forms, PowerBi, PowerAPPs need to be switched on by request.
A. This hasn’t been finalised yet, please check with the Service Desk. You currently do not have the Telephony add-in for Teams that would provide these features. If you miss a colleague trying to audio or video call you through Teams, they will be able to leave you a voice mail in Teams. You will receive an email in Outlook and a notification in Teams to prompt you to listen to the message.
A. It depends on your background noise in your location, if your PC’s mic/speaker is good you can use that. But if you don’t want others to hear your colleagues talking, headphones are a good idea.
A. You can only mute your own mic so you cannot be heard, but there is not yet a setting to Mute all attendees.
A. 250 people in Teams meeting, 100 people in a group chat, 10,000 in Live Events.
A. You have to add individuals to create a group each time in Teams Chat/Posts, you cannot use a distribution group from Outlook or your Outlook contacts to add people. But you can create a new Chat, add the members and then click the down arrow to the right of the names, to add a group name like “Admin Staff” or a conversation topic like “Discussions on GDPR compliance”
A. TMK is conducting a separate project on Team’s Chat and File retention policies inline with guidance taken from Microsoft

A. All conversation in chat is saved automatically and can be seen long term, there is no facility to sort chat other than in chronological order.
A. Yes you can either hover over the chat or post and select the ellipsis, then select Save this message or Share to Outlook. Or you could select the text and simply Copy and Paste the text elsewhere. If you select Save this Message, you can retrieve your saved messages from the User icon located at the top right of the screen in Teams.
A. Whether you are able to share files with people outside your organisation via Teams is usually dependant on TMK’s policy and therefore whether external access has been switched on in Teams Admin. As a general rule, Teams is for internal use and you wouldn’t expect to allow guest access. But some organisations do have trusted partners that work within Project teams and therefore require access to that projects Teams and channels. You will need to check with your Service Desk if you require tis facility. The other place you can share files is from your own OneDrive and within SharePoint, but again you will need to check if this is TMK policy first to allow Guest access.
A. You will only be asked if you want to include the previous chat history when you add a fourth person into an existing chat. You are asked if you want to retain No History, All History or a number of days worth of chat history.
A. Yes it disappears from their screen.
A. You can delete your own individual chat messages, but no one else’s. Microsoft think that chat should be retrievable at all times. If you think that the conversation has a limited time use, Microsoft suggests that you can start a group chat, then click on the little pencil by the chat name at the top of the screen and change the description to a conversation topic instead of the chat participants names. Then once the conversation is no longer required, hide the chat by using the ellipsis. But it can be searched for and found still! There is no full deletion. Microsoft also suggest that you can use a Channel in Teams to post conversations and then hide or delete the channel and therefore the posts will be hidden too.
A. You can edit your chats by hovering over the chat to be edited and selecting the ellipsis in the Reaction toolbar that appears, then select Edit. Other people in the chat can see that it is marked as edited though. Remember this is a business tool, be careful of the informal nature of chat platforms. Remember GDPR and be careful of writing sensitive personal information because you might have a request for access to the conversation for Freedom of Information (FOI) purposes
A. It is personal preference, there is no TMK policy currently. Eventually there will be some guidelines produced. If you have any concerns, please contact the Service Desk in the first instance.
A. Yes, in the Responses panel in the form, you can Open in Excel to see the results there and use all the wonderful Excel features to analyse the responses.
A: You would have to give control to another person during the meeting for them to share their Desktop.
